What Happens When the Brief Is Too Broad: An MRO Sourcing Run

The brief, and why it was written that way

Industrial spare parts for plant maintenance, distributors holding United States stock. It is close to how a maintenance manager actually talks, which is why it was written this way, and it is why the run is instructive.

Two things were being asked at once. The first is a category, and it is enormous: industrial spare parts covers bearings, seals, drives, valves, electrical components and a hundred other families that share nothing except being on a shelf when a line stops. The second is availability, which is the thing that actually matters in maintenance and the thing websites are worst at stating accurately.

What is actually in the file

Read the top of the file and the problem announces itself. Seals. Gaskets. Sealing devices. Sealing specialists. The highest scoring entries are almost entirely one product family.

Nothing here is wrong. Every one of those companies is a genuine United States distributor holding stock of industrial spare parts, which is exactly what was asked for. But "industrial spare parts" is a department, not a category, and when a brief names a department the search finds whichever corner of it publishes best. Sealing distributors happen to run detailed, well indexed catalogue sites. Bearing and drive distributors often do not, and so they lost a competition nobody meant to hold.

It was also the slowest run in the programme, and it read the second largest number of pages to get there. Breadth is expensive.

A missing certificate never drops a good maker. It lowers a score, and the score is a number you can argue with.

Where this stops being enough

The fix is not a better search, it is a smaller question. Run one brief per product family and you get a usable list each time: seals, then bearings, then drives. Four narrow runs cost less time in total than this one broad run and return a file you can act on rather than a file you have to explain.

Stock availability is the harder half and it does not resolve at all from public pages. A distributor's website says it stocks a family; it does not say whether the part you need is on the shelf today. That answer only exists in their system, which is precisely the case for connecting to it rather than reading about it.
